This article will discuss the process of creating a new Sub Role.


Sub Roles differ from Primary Roles in that they allow for more granular control of permissions regarding Service Types, Note Types, and Document Types.


Sub Roles are additive in nature (never restrictive), and can provide access to specific services, notes, and documents that are otherwise restricted by the Primary Role.


For Example, if only Mental Health providers at your center should have access to various Mental Health services, notes, and documents, a Sub Role can be used to grant that access to those specific Users.


Begin by navigating to the Admin Panel. Creating a Sub Role is done via the Permissions section. 


Click on the Permissions link under Site Administration to view existing Roles and Sub Roles.

The next screen contains a list of existing Roles and Sub Roles.

Existing Role and/or Sub Role configurations can be viewed by clicking on the “View Permissions” link next to each Role and/or Sub Role.

To Create a New Sub Role and configure its permissions, click the “Create New Role” link in the Actions section on the left hand side of the screen.

On the next screen, start by entering a Name for the Role

The Active field determines whether or not the Sub Role that is being created will be an Active sub role that can be used. The main purpose of this field is to deactivate existing Sub Roles that are no longer being used. There is no need to change this field when creating a New Sub Role.

The List Order field can be used to make the Sub Role you are creating appear in a specific order in the list of Roles. The purpose of this field is to help Administrative Users easily find specific Sub Roles when there are a large number of Sub Roles. Leaving the List order field blank results in the Sub Roles appearing in alphabetical order.

Now, set the Sub-Role field to Yes.


Once you have given the Sub Role a name, and are ready to start configuring the Sub Role’s permissions, click “Save and Edit Permissions”

The Sub Role has been created, and you may now configure the Permissions for the Sub Role.
