This article will discuss what to expect when your network is getting a system upgrade.


When Collaborate is undergoing a system upgrade, it is sometimes necessary to schedule a Maintenance Window to perform the update. During this scheduled time, Collaborate will be inaccessible. In these scenarios, Users are notified of the Scheduled Maintenance Window from within Collaborate.


This article describes the messages that are presented to Users before, during, and after the Scheduled Maintenance Process. This article also discusses how to access details regarding upcoming and past updates.

Scheduled Maintenance Process


Before the Maintenance Window


In the days leading up to the Scheduled Maintenance a yellow banner will be visible near the top of the page in

Collaborate. 

The banner contains information about the date and time of the Scheduled Maintenance. 


Be sure to save all work and logout of Collaborate at least 10 minutes before the Scheduled Maintenance.


You can click the banner to expand it to view details of the upcoming Scheduled Maintenance including:

  1. Date of the Scheduled Maintenance
  2. Time of the Scheduled Maintenance
  3. Expected duration of the Maintenance Window
  4. Feature Enhancements and Updates scheduled to take place


Two minutes before the Scheduled Maintenance is to begin, the banner changes to a red Warning Message. If you see this message while working in Collaborate, save all work and logout of Collaborate to avoid losing information.

When less than 2 minutes remains before the Scheduled Maintenance is to begin, a final warning message will

appear. If you see this message while working in Collaborate, save all work and logout of Collaborate to avoid

losing information.


During the Maintenance Window


When Collaborate is undergoing the upgrade, the website will display the following message:


An upgrade is being performed on Collaborate. Please check back soon. When the process is complete, you'll be able to login as usual.



Once the upgrade is completed, the regular Collaborate Login Page will again be visible and you will be able to login as usual.


After the Maintenance Window


When the updates have been completed, an "Upgrade Complete" message will appear the first time you login. 

This message lists the updates that were made during the update (1). At this point it is safe to click Ok and use Collaborate as normal.


Viewing Application Version History


It is possible to view a list of updates that have been applied to Collaborate. 


To review Application Version History, from any page in Collaborate, hover over the Help icon and click "View Application History" in the menu that appears.

You will then be directed to the Application Version History page. This page contains various listviews:

  1. Client Customization Version History
  2. Pending Core Application Updates (this will only appear when there is a Scheduled Maintenance Window)
  3. Core Application Version History

Client Customization Version History - This list displays past updates that were specific to your network. This list includes customizations and features that were specifically requested by the network. The listview contains information pertaining to the Version Number, brief description of the Release, Release Date, and whether or not an alert was scheduled to be displayed at the top of the Collaborate page before the update. 


To view more detailed information pertaining to a particular client release, click the View link on the right side of the list.

Pending Core Application Updates - This list displays future updates that are scheduled to be released. The listview contains information pertaining to the Version Number, brief description of the Release, Release Schedule, whether or not a Maintenance Window is required (and if yes, the expected duration), and whether an alert is scheduled to be displayed at the top of the Collaborate page before the update. This will only appear when there is a Scheduled Maintenance Window.


To view more detailed information pertaining to a particular pending release, click the View link on the right side of the list.

Core Application Version History - This list displays past updates that were applied to all networks and instances of Collaborate. The listview includes new enhancements and features that were added to improve the User experience. These updates may or may not have been specifically requested by your network. The listview displays the Version Number, brief description of the Release, Release Date, and whether or not an alert was displayed at the top of the Collaborate page before the update.
