The Restrict Case Access function allows you to “lock” a case so that only certain users can access it. The list of authorized users is determined by the user that establishes the Case Restriction

If an unauthorized user attempts to access the case’s information, that User will be unable to view case details and will receive a message stating that the case has been marked for Restricted Access.


Creating a New Case Restriction

To Restrict Case Access use the following steps:

  1. Navigate to the Case Profile for the case that needs restrictions
  2. Click Case Actions to expand the list of actions
  3. Click Manage Restrictions
  4. Fill out the fields on the Add Case Restriction Update form
    1. Restriction Title - The title will display in an Alert at the top of the Case Profile screen.
    2. Restriction Reason - Details for restriction reason. This field will display in an Alert on the Case Profile screen.
    3. Color Scheme - Select the color for the Alert that will be displayed on the Case Profile screen
    4. Start and End time  - You can enter the start and end dates and times for the case restriction. If the end date is entered, the restriction will automatically expire on that date and time
    5. Active - Choose whether the restriction is Active
    6. Authorized Users - Select which users SHOULD be able to access the case while it is restricted
  5. Click Continue to save the restriction


Manage Existing Restrictions

Edit an Existing Restriction

To edit an existing restriction, use the following steps:

  1. Navigate to the Case Profile for the case that needs restrictions
  2. Click Case Actions to expand the list of actions
  3. Click Manage Restrictions
  4. Click the Pencil Icon  to edit an existing restriction 
  5. Make any changes on the Edit Case Restriction form
  6. Click Continue

Remove an Existing Restriction

To delete an existing restriction, use the following steps:

  1. Navigate to the Case Profile for the case that needs restrictions
  2. Click Case Actions to expand the list of actions
  3. Click Manage Restrictions
  4. Click the Red X  to delete an existing restriction 
  5. Confirm your intent to delete by clicking Yes, Continue
