MFA greatly reduces the chances of unauthorized access to your Collaborate account. Utilizing another layer of security further protects your clients and organization. 


We recommend enabling MFA in Collaborate immediately. The process only takes a couple of minutes and provides an instant boost to your account’s security.

Overview

 Multi-Factor Authentication increases the security of your login credentials. After you install The Google Authenticator App on your smartphone from the Google Play or Apple App Store, use it to create a 6-digit code to enter each time you log in to Collaborate for the first time each day.


Conducting the setup process will pair your Collaborate account with your mobile device (typically your mobile phone). From then on, logging in remains a simple, straightforward process, with one additional step: entering a one-time use code into Collaborate.


Setting Up Multi-Factor Authentication (MFA)

Step 1. Install the Google Authenticator App

You only need to install the Google Authenticator App on one device. However, this device will need to be used every time you log in for the first time each day. So, choose a device that you use and keep with you the most. 

  • Click here to access the Google Play Store if you are using an Android device.
  • Click here to access the Apple App Store if you are using an Apple device. 

Step 2. Enable MFA in your Collaborate Account (Pair Your Device)

  1. log in to your Collaborate account as you normally do.
  2. Once logged in, hover over [Your Name] in the upper-right corner of the screen and click My Profile
  3. On the left side menu, click the Enable link within the Multi-Factor Authentication section.
  4. Read the directions on the page, and when you are ready, click the Yes, Continue button.
  5. On the next page, you will see an MFA QR Code (a black & white square made up of many smaller squares), along with information for manual entry/setup (in case your device has difficulty scanning the QR code).

On your Smartphone or Tablet:

  1. Open the Google Authenticator App.
  2. Tap the option to add an account. (Usually a “+” button or an option within the menu to Scan Code or Add Key).
  3. Point your device’s camera at the QR Code (the square of dots) on your computer’s Collaborate page. If your device does not have a camera or your device has difficulty scanning the QR code, manually enter the account name and the key listed on your Collaborate page into your device.
  4. When your device has successfully scanned the QR code (or you have entered the key), the Authenticator App will automatically save the information.
  5.  Your device is now paired to your Collaborate account.
  6. In the Google Authenticator App, you'll now see a 6-digit code with the title, "Collaborate" underneath along with your username. The 6-digit number is your MFA authentication code.

Note that the code changes approximately every 30 seconds.


NOTE: If you already use Google Authenticator App for other systems, you will see other codes listed. Otherwise, the screen on your phone or tablet will look similar to this example (with only one code). Look for the code that is associated with Collaborate.


Step 3. Confirm a Successful Pairing

  1. Enter the 6-digit code from your device into Collaborate in the Authenticator Code field.
  2. Click the Continue button to verify the pairing was successful.

NOTE: You must click the Continue button before the code changes on your smartphone or tablet. If the code changes on your device before you have time to click Continue, just use the updated code instead.


Logging Into Your Collaborate Account Using MFA

After initial setup, the first time you log in to Collaborate each day you will be prompted to submit your Authentication Code. 

  1. log in as usual by entering your Username and Password on the Collaborate login screen then clicking Login
  2. You'll then see a page with an empty Authentication Code field.
  3. Check your mobile device for the MFA code in the Google Authenticator app.
  4. Enter the code into Collaborate and click Validate.
